Inefficient Review and Approval: The Real Cost of "Free" Solutions

When it comes to online proofing solutions, just because you aren’t spending money, doesn’t mean it’s free. While it may be overused, and a tad trite, the old cliché that “time is money” holds more truth today than it ever has. In the creative context, delays and bottlenecks in the project management process can end up costing you far more in the long run than you can “save” with patchwork email, spreadsheets, or job jacket solutions.

Research from the McKinsey Global Institute shows that:

  • Up to 28% of the average workweek is spent just on reading and responding to emails
  • Another 19% goes towards tracking down and gathering necessary information, while
  • 14% is spent on internal communication and collaboration

Added up, this leaves less than 40% of the workweek dedicated to role-specific tasks. If almost two-thirds of the average week is spent managing unruly email, tracking down leads based on those emails, and trying to collaborate with your team members, it’s clear that not only employees will suffer, but productivity will as well.

In fact, McKinsey estimates that across the four main business sectors of consumer packaged goods, retail financial services, advanced manufacturing, and professional services, lackluster productive processes could be leaving between $900 billion and $1.3 trillion dollars on the table. According to McKinsey, “Two-thirds of this potential value lies in improving collaboration and communication within and across enterprises.”

Spreadsheets and email aren’t designed for review and approval, and though it may be possible to get by, makeshift solutions hurt productivity and happiness. Companies or employees that find themselves in such a situation can root out time-wasting email and meetings by using review and approval software, like ConceptShare, which stores assets in one place online where all employees involved can see, update and comment on them as needed.

This reduces the need for time-costly email chains and meetings. Since inboxes are already busy, it’s important to keep notification emails simple and relevant to your process. To get started, ConceptShare provides “out of the box” email notification templates for reviewers, such as invitations to a review, comments on feedback, or new asset versions being posted, which enable project managers to keep track of content and asset review cycles, identify problems early on, and keep everyone aligned - without having to chase down reviewers or dig through heaps of email chains to figure out the state of operations. With ConceptShare, emails become reviews, and feedback is organized by asset, making it both easy to find and act on, while posted deadlines and reminders mean that time spent tracking down team members will be reduced drastically.
